As an Administrative Assistant, you will support recruiting operations and executive leadership, coordinating complex schedules and providing operational support while working with modern tools. Job Highlights Number of Paid Hours Per Week: 40 hours
Schedule: Monday – Friday, 10:00 AM – 7:00 PM EST (includes 1-hour unpaid break)
Work Arrangement: Work from home
Contract: Independent Contractor
Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates, and the rate depends on your performance in the application process.
Responsibilities
Coordinate and schedule on-site interviews with multiple stakeholders (typically 4+ per interview)
Provide executive assistant support to the CEO, including calendar management and scheduling
Manage executive inbox and email correspondence
Support recruiting operations through administrative coordination and process management
Work seamlessly within company systems including Notion, Slack, Google Calendar, and Ashby ATS
Handle traditional EA duties including administrative tasks and operational support
Scale responsibilities as the company grows and hiring needs expand
Maintain organized systems and processes to support business operations
Requirements
Strong English communication skills (written and verbal)
Experience with scheduling, calendar management, and coordinating multiple stakeholders
Administrative or executive assistant background preferred
Familiarity with common business tools (Google Calendar, Slack, Notion helpful)
Ability to work EST time zone with reliable internet connection
Bonus: German language skills (CEO is German-speaking)
